Are you detail-oriented, proactive, and passionate about logistics? We are seeking an Operations Assistant to support our fleet and loading operations in Beira. In this vital role, you’ll ensure efficient vehicle movement, cargo compliance, and seamless driver coordination, acting as the key link between field operations, fleet tracking, and administration. You’ll report directly to the Operations Lead.
Key Responsibilities:
Loading Oversight
Supervise cargo loading at various sites, ensuring compliance with loading patterns for break-bulk and bulk-loose cargo.
Liaise with warehouse teams and loading supervisors to confirm loads meet axle and trailer configuration limits.
Escalate non-compliance or deviations in cargo placement to management.
Conduct spot checks using weighbridge data to verify load distribution.
Fleet Movement & Driver Coordination
Maintain daily communication with drivers, providing timely updates and instructions.
Track vehicle movements using Telematics systems and update operational data in Smartsheets and Forms on Fire.
Report delays or abnormal events to relevant departments (Legal, Workshop, Customs).
Support prompt vehicle turnaround and help resolve issues affecting truck movement.
Driver Discipline & Compliance
Report misconduct, incidents, or accidents to appropriate departments.
Investigate behavioral or procedural deviations and assist in issuing warnings.
Reinforce company policies and legal compliance during debriefings or investigations.
Systems & Administration
Input operational data across platforms (Finance Systems, Smartsheets, Telematics, Forms on Fire).
Assist in preparing reports, compiling performance metrics, and maintaining digital records.
Carry out administrative duties related to fleet coordination, workshop updates, and document management.
Support continuous improvement of system processes across departments.
Cross-Functional Liaison
Serve as a point of contact between operations, customs, workshop, legal, customer service, import/export, and other departments.
Escalate unresolved challenges to the Operations Lead or relevant stakeholders.
What We’re Looking For:
Soft Skills
Excellent communication skills in English (Portuguese and/or Shona an advantage).
Detail-oriented with strong organizational and time-management skills.
Proactive, solution-driven, and hands-on with high integrity and work ethic.
Able to work under pressure and resolve issues independently.
Strong team player with a professional demeanor.
Written and verbal communication in both English and Portuguese is essential.
Hard Skills
Minimum secondary education; tertiary education or technical diplomas are a plus.
At least 2 years’ experience in logistics, transport operations, or similar roles.
Strong Microsoft Office skills; experience with Smartsheets, Forms on Fire, Finance Systems, and Telematics is a plus.
Willingness to work flexible hours and respond to operational demands outside normal business hours.
Working Hours:
Monday to Friday: 07h30 – 12h30 & 13h30 – 17h30
Saturday: 07h30 – 12h30
Weekends or extended hours may be required on a rotation basis.
