Key Responsibilities
Position Overview
A leadership and systems-governance role tailored for a professional with a strong sales administration or revenue operations background. This individual will oversee the entire Order-to-Cash (OTC) framework, stabilize the SAP integration loop, optimize subcontractor controls, and leverage technology, automation, and AI tools to maximize team efficiency.
Accountabilities & Responsibility Areas
OTC Process Design & Change Management: Define workflows, audit checklists, and timelines to transition the team to a proactive Order-to-Cash mindset. Actively train, mentor, and upskill former AR clerks to align with modernized processes.
Systems Optimization & Automation: Finalize and monitor the automated JC-to-SAP Sales Order integration loop. Proactively identify opportunities to introduce AI assistance or automation to streamline data matching and reporting.
Cross-Departmental Governance: Act as the primary escalation point for data mismatches between Client Liaisons and Finance. Hold operations accountable for the quality and accuracy of truck, rate, and cargo data.
Contract & Financial Controls: Manage compliance rules for complex mining contracts, ensuring standing time rules and subcontractor payout terms are correctly coded into daily workflows. Enforce team adherence to internal controls, audit requirements, and compliance processes.
Variance & Margin Analysis: Review weekly consolidated reports detailing variances between SAP Sales Orders and final invoices. Investigate and resolve systemic billing errors or margin leaks.
Financial Operations & Reporting: Responsible for the full customer aging for all accounts and all GL accounts relating to revenue control/accounts receivable. Maintain structural reporting in line with requirements set by leadership.
Month-End & Audit Management: Manage and delegate the team's output during month-end procedures to ensure all deadlines are met. Coordinate the preparation and provision of necessary documentation for external audits.
Leadership & Delegation: Manage and delegate ad-hoc requests from the Head of Financial Transactions to ensure timely delivery.
Success Metrics (KPIs)
Target DSO and DSNI: Drive departmental accountability to meet company benchmarks for overall cash collection speeds and unbilled revenue reduction.
Integration & Automation Stability: Percentage of JCs successfully processed through SAP and automation tools with minimal manual intervention.
Process Adoption Rate: Timely execution of the new JC audit and subcontractor matching frameworks by the team.
Hard Skills
- Background: Proven experience in Sales Administration, Revenue Operations, Logistics Coordination, or Commercial Finance.
- Tech-Savvy Aptitude: Comfortable designing ERP workflows and enthusiastic about adopting modern digital tools, automation, and AI prompts to eliminate repetitive tasks.
- Systems Proficiency: Proficiency in ERP systems, with SAP Business One (SAP B1) highly preferred.
- Advanced Data Analytics: Advanced Microsoft Excel skills (Pivot tables, VLOOKUPs, data manipulation) with an ability to analyze financial data, track margins, and provide insights for strategic decision-making.
- Accounting & Controls: Strong understanding of revenue assurance, credit management, contract compliance, and audit preparation procedures.
- Analytical Eye: Able to spot patterns in data mismatches (e.g., identifying why operational truck data doesn't match a contract rate).
- Leadership & Change Management: Ability to mentor, train, and transition a traditional team into a modern, high-performing automated environment.
- Communication: Excellent communication and interpersonal skills for negotiating with clients, managing internal operational friction, and coordinating with stakeholders.
- Resilience & Flexibility: Highly resilient, able to work under pressure, and thrive in a fast-paced, dynamic work environment. Demonstrates the flexibility required to meet critical operational and financial deadlines.
- Relevant tertiary education
- Must have a minimum of 5 years supervisory experience in revenue operations, sales administration or accounts receivable.
- Minimum of 10 years total work experience
- Experience in logistics/freight industry is preferred
